Back to Search Results Register your InterestGosport Heritage Open Days are looking for a volunteer Booking Co-ordinator who can provide an essential service to our festival. This will include the setting up and management of online bookings for some 50 events which will fall within Heritage Open Days in September.
From mid-June input of details to 'Eventbrite' need to begin and can be completed at your own pace over next 6-7 weeks but may take something in the region of 55 hours overall. This task requires good communication with the Secretary and Events Group to gather all relevant information; cross-checking some info with individual event organisers; attention to detail and consistent style when inputting events online; proofreading and making any corrections.
In mid-August, when booking goes live, there will be an initial rush for a couple of days and high-level attention (up to 4 hrs per day) will be required. Following that, our Eventbrite booking status will require daily monitoring (taking perhaps 1 hr per day) and shortly before the event, admin time will again increase as last-minute amendments and visitor lists will need to be dealt with.
Following the September events, the booking information on Eventbrite should be archived and statistics generated by the site provided to the Event Group.
If you wish to remain involved with Gosport Heritage Open Days over the ‘off-peak’ period, then other more generalised admin tasks are always available.
Skills
- Good overall IT skills are essential and a 'back-end' knowledge of the online booking facility 'Eventbrite' would be very advantageous. However, we will provide a ‘How to’ guide for
the booking procedure and will endeavour to offer 1 to 1 support in person or online when needed.
- Efficient communication with others in the team will be essential in this role. You will also be responding to public booking enquiries so it will be good to have calm and friendly customer service skills/problem-solving ability, in line with the image of Heritage Open Days.
- This is deadline-driven so an ability to follow a structured process and monitor
progress is required.

Availability Details
As said above, the time commitment is dependent on the stage of the booking process and relevant deadlines. It could range between 2hrs per week (in slower times) but up to 4 hours per day (for short bursts when booking goes live). Support would be available at busy times if required. We offer a weekly 'open office' session in Elson (usually Wednesday or Thursday) and you may benefit from joining our Secretary there initially to gain a good insight into the Gosport HODs project and the task of event bookings. However, once confident, you can work from home, on your own equipment, at a time which suits you best.
